Privacy policy

How Braincore collects, uses, and protects personal data, account data, and service data.

General provisions

This Privacy Policy describes how Braincore collects, uses, stores, and shares information when you use the website, web application, integrations, and related service features on braincore.ltd.

By using Braincore, the user confirms that they have read this Policy. If the user acts on behalf of a company, they confirm they have authority to transfer company, customer, and employee data to Braincore.

Data controller

The personal data controller is the administration of the Braincore service (braincore.ltd).

What data is processed

Account and profile data: name, email, company name, role, access rights, authentication identifiers, and information the user provides during registration or when invited to a workspace.

Service data: leads, contacts, deals, messages, files, settings, knowledge base, rules, scripts, and other materials the user uploads, creates, or syncs through Braincore.

Technical data: IP address, approximate location from IP, device, browser, action timestamps, security events, diagnostic logs, and data needed for stable service operation.

Communications with Braincore: support requests, messages about sales, billing, security, and integrations, as well as technical metadata of such requests.

Purposes of processing

Providing access to the service, CRM features, workspace, AI employees, integrations, inbox, tasks, knowledge base, and reply-approval features.

User support, error diagnosis, security, preventing abuse, performing contractual obligations, and complying with the law.

Analyzing anonymized or aggregated data to improve the product, interface quality, stability, onboarding, and user scenarios.

AI processing

Some Braincore features may send prompts, messages, customer context, knowledge-base materials, and other required data to AI providers to prepare drafts, summaries, recommendations, classification, and other AI actions.

The user controls which materials are added to the knowledge base and which actions require approval before being sent to a customer. AI results may be inaccurate and should be reviewed by the user if they are used in customer work.

Data sharing and processors

Braincore may share data with infrastructure, hosting, analytics, AI, payment, and communications providers and other processors when this is necessary for service operation, security, billing, or support.

Data may also be shared with external systems that the user or company connects themselves, including CRM, messengers, email services, telephony, and other integrations.

Braincore may disclose data to public authorities, courts, or other authorized persons if required by law or necessary to protect the rights and safety of users and the service.

Payment data

When paying for plans, data required to process the payment is sent to the payment provider, acquiring bank, and other participants in the payment infrastructure.

Braincore does not store full bank card data. We may receive payment status, a payment identifier, amount, date, plan, receipt details, and limited payment information needed for accounting and support.

Retention period

Data is stored for the life of the account and a reasonable period after it is closed, unless a longer period is required for accounting, security, disaster recovery, dispute resolution, or compliance with the law.

Backups may be kept for a limited time as part of recovery and service protection procedures.

After Braincore is no longer used, data may be deleted, anonymized, or retained to the extent needed to comply with the law, protect rights, and process contractual obligations.

Security

Braincore applies organizational and technical measures to protect data, including access control, permission separation, encryption in transit, security-event monitoring, and least-privilege principles.

No method of transmitting or storing data is completely secure. Users are advised to use strong passwords, available account protection, and to report suspicious activity promptly.

User rights

The user may request access to their data, correction, blocking, deletion, restriction of processing, or withdrawal of consent, where such rights apply to the specific situation.

Workspace administrators may manage some data and settings on behalf of their company. Individual personal data requests are accepted at timirchev.dev@gmail.com.

Cross-border transfer

If service operation requires transferring data outside the user's country, Braincore applies the legal grounds and safeguards provided by law, including contractual obligations of processors and limiting transferred data to what is necessary.

By connecting integrations and AI features, the user accepts that some data may be processed by providers whose infrastructure is located in other jurisdictions.

Children

Braincore is not intended for users under 16 and is not directed at knowingly collecting children's personal data.

If you believe a child's data was submitted to Braincore without a proper basis, contact support so the data can be reviewed and deleted where applicable.

Policy changes

Braincore may update this Policy. The new version is published on this page with an updated date.

If changes are material, Braincore may additionally notify users through a method available in the service interface, on the website, or through other working communication channels.
